Facility Rental Info

The McLean County Fairgrounds hosts an array of events throughout the year. Our grounds are a blank slate that can accommodate events from wedding receptions to livestock shows. On our 103 acres, we have two enclosed buildings, 4 pavilions/barns, a grandstand and dirt track, gravel lot, concrete lot, grass fields, and plenty of parking space. Get in touch with us to discuss your event’s needs, or fill out the rental request form and someone will reach out to you.

We also provide winter storage of RVs, boats, and other outdoor big kid toys from November to mid-April every year. Info will be available in August/September.

Facilities

West Expo Building

26,000 usable square feet that can seat up to 700 people for a banquet/reception with a ceiling clearance of 13 feet at the lowest point.

Concession stand/serving kitchen with 3 basin sink, microwave, and refrigerator available for selling or serving food and non-alcoholic beverages of your choice.

Two locker rooms perfect for setting up as an on-site office, changing room, photographer area, VIP area, etc.

The back room can be shut off from large main room, perfect for a small private ceremony before the big party.

All 8 foot banquet tables, 60 inch round tables, and chairs needed for your event are included with the cost of the building rental. Also included is our in-house sound system with blue tooth connection and guest Wi-Fi access.

Mini Expo Building

16,700 usable feet that can seat up to 300 people for a banquet or reception with a ceiling clearance of 12 feet.

Split into two rooms, the large room is accessible from the front room through two overhead garage doors or two regular doors. The front room is great as a reception area or a food line for banquet service.

Concession stand/serving kitchen with 3 basin sink, microwave, and refrigerator is available for selling or serving non-alcoholic beverages and food. Note: if you need a larger cooler for a tiered cake, please note that in your facility request.

All 8 foot banquet tables, 60 inch round tables, and chairs needed for your event are included with the cost of the building rental. Also included is our in-house sound system and guest Wi-Fi access.

Pavilions/Barns

Know as Barns A, B, C, and D, these open air barns have no sides but a roof, like a pavilion. A, B, and C have a gravel floor while D has a concrete floor. Access to electricity and water is available in each barn. B has restrooms and shower access.

We do have pens on site that can be rented for an additional fee. Staff labor to set up pens is also an additional fee. We do not provide bedding.

Picnic tables make a nice seating area if renting for a social event. There is an additional charge for tables. No alcohol is allowed in the pavilions/barns.

Barn A makes a great covered parking area for events that are inside the buildings during inclement weather. Use of the barns must be approved of and not included with rental of the buildings. If you use Barn A for parking for your event, you will be charged for renting Barn A.

Additional Facilities

Our grandstand can hold around 2,000 people. The track is a straight dirt track that is not maintained outside of the County Fair.

The White Grid is a gravel lot with water and electric access.

The North Field is a grass field with no utilities.

These facilities are available to rent at certain times of the year. Please contact our office if you are interested in leasing any of facilities listed above.

Additional Info & Resources

In need of fencing, a podium, stage, or table linens for your event? We have items that can rented for an additional fee. Sales tax will be applied unless a tax exempt certificate is on file.

A certificate of liability insurance is required when renting any of the facilities or equipment from the McLean County Fair.

All alcohol sales and service is to be provided by McLean County Fair staff only. There is a fee for the bar service and pre-determined locations on where alcohol sales/service can take place.

We do not provide food service, you can book the caterer/food vendor of your choice.

Info for Food Vendors/Trucks

All Food Vendors are required to submit a copy of their food permit, food license, certificate of registration for cottage food or IDPH registration in addition to a copy of liability insurance prior to the event they are serving at.
